How to make a public records request

Making a public records request is as simple as writing a letter. For local and state agencies, requests should cite the California Public Records Act.

For federal agencies, be sure to include the notation “Freedom of Information Act” on the envelope and at the beginning of the request letter. If you are seeking information from a federal agency about yourself, you should also cite the Privacy Act of 1974.

There is no central clearinghouse for public record requests, so send the request to the agency that has the information. The agency has 10 days to provide a written response, but can extend the time limits under some circumstances. An agency can refuse to disclose information that falls under certain exemptions, such as endangering national security. The agency must state why it is refusing a request for information. A fee may be charged for copying.
